Roles and Responsibilities

Find below a description of the main roles and responsibilities in project organisation from a project management point of view.

Project Manager

  • Is a member of the IT department working in one of the IT groups
  • Is responsible for delivering results according to the plans
  • Coordinates the project core team making effective use of allocated resources
  • Ensures the creation of project artefacts like project plans and project reports, following the project management methodology defined by the PMO
  • Manages stakeholders and project communication
  • Monitors project status and reports regularly to the relevant review boards
  • Escalates issues when necessary

PMO Team Member

  • Is also a member of the IT department working in one of the IT groups but also contributes to the PMO
  • Defines and maintains the project management methodology that is used to manage projects in IT, by providing and maintaining up to date project lifecycle workflows and templates
  • Supports project managers throughout the whole project lifecycle, in particular:
    • Provides up to date training material
    • Provides up to date project templates and checklists
    • Ensures project artefacts are of good quality
  • Supports the relevant review boards in their decision making process, in particular:
    • Maintains the project catalogue up to date
    • Provides project dashboards and reports that meet the needs of the relevant boards
    • Maintains the project documentation repository

Project Management Office

  • Maintains the IT project catalogue and relevant project dashboards
  • Maintains a central repository for project related documentation
  • Defines the IT project lifecycle
  • Provides IT project management templates and checklists
  • Supports and train IT project managers

Project Portfolio Review Board

  • Asses projects against IT strategy on a regular basis
  • Controls projects budget, schedule and resource utilisation
  • Recommends corrective actions in case of deviations from the project plan
  • Decides whether projects are continued, rescoped or discontinued

Demand Management Review Board

  • Reviews and prioritises project requests
  • Ensures requests are aligned with IT strategy, security and data policies
  • Validates project proposals
  • Assigns resources to projects
